Follow the steps below before ordering your certified translation:

  • Find the agency or institution to which your document and its translation will be submitted (in Brazil or abroad). 

  • Ask the relevant agency or institution if you will have to submit the original document or if a certified copy will be accepted. If certified copies are allowed, your original document (diploma, transcript of grades, personal documents) will be preserved (the translator usually places his or her stamp on the back of the document).

  • Ask the relevant agency or institution whether an Apostille must be affixed onto the original document before it is presented for translation. This is required for certain types of documents issued by public agencies or institutions in the countries that are signatories of the 1961 Hague Convention. The Apostille certifies the validity of the document and is affixed by each country's competent authorities. For documents issued in Brazil, the Apostille is provided by a "cartório". In the USA, the Secretaries of State for each state are competent authorities. In the United Kingdom, Apostilles are issued by the Foreign and Commonwealth Office. For countries that are not signatories of the 1961 Hague Convention, such as Canada, documents must be legalized in the originating country and the receiving country.  

 

  • Ask the relevant agency or institution whether they require a printed version of the translation (manually signed by the translator) or an electronic version (digitally signed by the translator) will be accepted. The São Paulo State Board of Trade has recently approved new regulations allowing public translators to issue electronic translations containing the translator's digital signature.
